A full conference day in West Sussex starts at £1,950 + VAT for up to 150 guests. That covers the PA system, up to four wireless microphones, a presentation screen, the mixing desk and an engineer on site all day. Smaller meeting setups start at £950 + VAT per day, and larger or multi-day productions are quoted individually.

Everything needed to get your speakers heard and seen: delivery, setup, testing, the live running of the session, pack down and the engineer's time throughout. There are no separate charges for setup hours or for the engineer, so the figure you are quoted is the figure you are invoiced.

An engineer is included as standard. In almost every case that engineer is Andrew, the same person who quoted your event, so nothing is lost in a handover. Soundcheck does not leave a stack of equipment in a room and drive away.

The standard conference package is built around rooms of up to 150 guests. Systems scale comfortably to 250 delegates, and beyond that Soundcheck designs a larger rig around the room rather than pushing a small system too hard. Room shape and ceiling height matter as much as headcount, which is why Andrew asks about the venue early.

Most conferences are booked between one and six months ahead, and popular dates in spring and autumn go first. Short notice is still worth asking about: Soundcheck has rescued events with 24 hours' notice when the original AV plan fell through.

A typical conference room is built in two to three hours, including sound checks and testing every presentation. Where the venue allows access the evening before, Soundcheck prefers to set up then, so the morning starts with a calm run through rather than a rush.

Yes, and it happens often. Andrew liaises with in-house technical teams, agrees power, access and rigging points in advance, and works to the venue's own rules. Where a venue insists on using its own equipment for part of the event, Soundcheck integrates with it rather than fighting it.

All presentations are collected and loaded onto one machine wherever possible, then run from the production position so slides change on cue. Speakers who insist on their own laptop are patched in and tested before doors open. Last minute slide changes are normal at conferences and are dealt with without fuss.

Yes. Soundcheck records audio and video of sessions and can stream to Teams, Zoom, YouTube or a private platform. Recording is worth deciding early, because it affects microphone choice, camera positions and the internet connection needed from the venue.

A booking fee of £195 + VAT or 5% of the total booking value, whichever is greater, secures your date. Soundcheck is based in Steyning and covers West Sussex at the base rate, with East Sussex, Hampshire and Surrey at £75 + VAT and central London at £125 + VAT. Work further afield, from the NEC to Dubai, is quoted on application.

Yes to both. Soundcheck carries £5,000,000 of public liability insurance and professional indemnity cover, and all equipment is PAT tested. Conference venues routinely ask for both before they will allow a load in, so certificates are sent across to your venue on request, usually the same day.

Moving the date is almost always easier than cancelling. Cancellation charges apply from the date you cancel, unless the event is rebooked to a new date within six months at the time of cancelling, in which case nothing further is payable. Otherwise: six months or more before the event, nothing is payable; three to six months, 50% of the booking value; one to three months, 75%; less than one month, 100%. The booking fee is non-refundable in all cases.
